1. Introduction

This Privacy Policy explains how TopTenTrades ("we", "us", "our") collects, uses and protects personal data when you use toptentrades.com (the "Service"), in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. TopTenTrades is the data controller for the personal data described in this policy.

2. Information we collect

  • Account details — name, email address, phone number, business name, trade category and service location, provided when you register.
  • Job and quote data — job briefs, budgets, timelines, quotes, line items, contracts and messages exchanged between customers and tradespeople.
  • Verification data — documents and details submitted by tradespeople for identity, insurance or trade-body verification.
  • Signature audit data— when a contract is signed electronically, we record the signer's name, timestamp, a hashed IP address and device/browser information as part of the signature audit trail.
  • Usage data — information about how you use the Service, such as pages visited and actions taken, collected automatically.
  • Communications — records of emails and SMS messages sent to you, including delivery status, for enquiries, notifications and account activity.

3. How we use your information

  • To create and manage your account and provide the Service;
  • To connect customers with relevant tradespeople and facilitate job briefs, quotes and contracts between them;
  • To send you notifications relevant to your account by email or SMS, such as enquiries, quote updates and contract status;
  • To verify tradesperson identity, insurance and qualifications;
  • To maintain the security and integrity of the Service;
  • To respond to support requests; and
  • To comply with our legal obligations.

We rely on the following legal bases for these uses: performance of a contract with you, our legitimate interests in operating and improving the Service, your consent (for example, for optional SMS or marketing communications), and compliance with legal obligations.

4. Sharing your information

We share personal data with:

  • Other users of the Service, where necessary to facilitate a job — for example, a tradesperson sees the details of a job brief they are invited to quote on, and a customer sees a tradesperson's quote and contact details once they engage;
  • Service providers who process data on our behalf, such as our hosting provider, database provider, email delivery provider and SMS provider, under contracts that require them to protect your data; and
  • Law enforcement or regulators, where required by law or to protect the rights, safety or property of TopTenTrades or others.

We do not sell your personal data.

5. International transfers

Some of our service providers may process data outside the UK. Where this happens, we rely on appropriate safeguards, such as the UK International Data Transfer Addendum or an adequacy decision, to ensure your data is protected to UK standards.

6. Data retention

We retain personal data for as long as your account is active and for a reasonable period afterwards to comply with legal obligations, resolve disputes, and enforce our agreements — including retaining contract and signature records for the period required to evidence an agreement was validly made.

7. Your rights

Under UK GDPR, you have the right to:

  • access the personal data we hold about you;
  • request correction of inaccurate data;
  • request erasure of your data, where applicable;
  • object to or restrict certain processing;
  • request a copy of your data in a portable format; and
  • withdraw consent at any time, where processing is based on consent.

8. Cookies

We use essential cookies required for the Service to function and which do not require consent, including:

  • Authentication cookies — keep you signed in to your account.
  • ttt_consent — remembers your cookie choice, kept for 1 year if you accept analytics cookies or 30 days if you reject them (you may be asked again after that).

With your consent, given via the cookie banner shown on your first visit, we also set ttt_vid, an analytics cookie used to understand how visitors use listings on the Service. It is not set unless you accept, and no analytics events are sent unless you accept.

With the same consent, we also load the Meta (Facebook) Pixel, which helps us measure and improve our advertising on Facebook and Instagram. It is not loaded, and no data is sent to Meta, unless you accept. You can withdraw consent at any time by clearing your cookies, which will show the banner again on your next visit.

9. Security

We use appropriate technical and organisational measures to protect your personal data, including access controls, database row-level security and encryption in transit. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Children

The Service is not directed at, and should not be used by, anyone under the age of 18.

11. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will take reasonable steps to notify you, such as by posting a notice on the Service or updating the date at the top of this page.
